Position Summary

The Project Manager will support the Program Director by providing Event and Programmatic management for a variety of activities across the Programs spectrum. Tasks and projects such as creating and proofing powerpoints/keynote presentations, live event support (some in person attendance required), making tick-tocks and eMaps, supporting faculty in content development and organization, sourcing through submitted testimonials to identify client success stories, and more as assigned. We produce approximately 18 events each calendar year ranging from 5-Day in person retreats to 6-Day Virtual Coach Certification events down to 1-Day Virtual Immersion events, and you will be responsible for project managing half of them!

 

Principle Accountabilities & Deliverables

  • Event Management (90%)

    • Attend events and provide onsite and/or virtual support for changes to powerpoints for faculty as well as note-taking (some in person attendance required)

    • Showrunning - you will be trained how to run a live event as the single point of accountability from the Programs side to collaborate with AV, Events and Technology Teams

    • Schedule and attend planning meetings (and make corresponding agendas) take notes, create follow up tasks

    • Creating and proofing powerpoints for live events (in person and virtual)

    • Management of printed materials

    • Creation of pre-event speaker notes and quick timing summaries

    • Support events team with the creation and development of event sites

    • Coordination with faculty for presentations (accountability for on time delivery of all relevant materials)

    • Testimonial Support - sourcing, identifying and confirming candidates

    • Development and management of Tick-Tocks and eMaps

    • Post Production Follow Up - download Zoom recordings and create asana tasks for Video Editor and Technology Department

    • Archive final documentation used during events

    • Sort through event debriefs and note suggested changes and implement approved items for future events

    • Compile data from surveys (live events and evergreen programs) to provide feedback for uplevels/improvements and client satisfaction

    • Source through submitted testimonial videos to identify compelling success stories and send recommendations to Program Director and Faculty

    • Rudimentary audio and video editing (preferred but not required)

    • Work with Creative Director to support with the development of timer videos with musical and photographic recommendations

  • Product Development (5%)

    • Work with Director of Programs to create Asana projects for new product and program development

    • Filming Day Support - coordinate videographer and makeup artists, assist with Tick-Tock creation, run teleprompter

    • Attend product/program meetings, take notes, participate in masterminding ideas, track actionable items, follow up with key faculty for assigned deliverables

  • Programmatic/Administrative (5%)

    • Create and schedule social media posts in multiple Facebook Groups. Manage groups to ensure compliance to terms & conditions, respond to posted questions and identify success stories.

    • Other administrative tasks as assigned

 

Education / Experience

  • Minimum High School Diploma, Bachelor’s Degree or equivalent experience preferred.

 

Skills / Functional Competencies

  • Expert level mastery of Powerpoint & Keynote

  • Impeccable attention to detail including grammar, syntax and spelling

  • Microsoft Office Suite - Word, Excel

  • Gmail, Google Docs, Google Sheets

  • Ability to work with or learn to work with multiple platforms (or learn)

    • InfusionSoft, or other CRM (dexterity to learn)

Work Environment

  • Home office (tele-commute) 

  • Regular business hours 8:30am - 5:30pm; minimum 40 hours per week

  • Nights & Weekends as needed for events and launches

  • Live in or near Orange County, CA 

  • Reliable means of transportation

  • Periodic travel will be required for in person events and filming

  • Normal physical activity including movement, hearing, seeing and communication.

 

Salary: $65,000/yr
