Virtual Event Coordinator

Remote Full Time

Overall Focus: Based on event: Dept Staffing & Financial Mgmt, Receipt & Invoice Tracking; Travel Arrangements, and Supporting Event Coordination w/a focus on Printed Materials for all events.

Position Overview:

Event Coordination

  • Support Annual Budgeting and regular budget review against actual costs: Specifically re: Airfare, Rental car, and Hotel costs.Specifically: Printed Materials
  • Research, Site/Vendor Selection, & Contract Negotiation for assigned events: busses, rental cars, ground transportation. Support with Staff Dinners if neccesary.
  • Event Site (URL) Management - Support EM with design and set up and management of event site.
  • Tick Tock: For assigned events:Update Tick Tock with meeting room assignments; volunteer job & staff names; etc.
  • Track Extra Event Expenses
  • Event Staff Support for Assigned Events: Meet with EM to coordinate BTI staffing for event
  • Special Event Management for Assigned Events: Research Special Event Locations, Entertainment, etc.
  • Communicate with Event Venue for Assigned Events:Support ED with Meal Guarantee and Food Allergy Data
  • Communicate with AV Provider for Assigned events:Book travel and hotel arrangements, send info to AV team
  • Event Inventory & Supplies:IP: Prep whatever items are in stock so that it is ready for load in.
  • Virtual: Provide Updated Inventory counts following each eventIP: Purchase snack items for team as well as snack items Mary would love for her suite.
  • Coordinate Printed Materials: Meet w/Programs Team & Enrollment for Printed materials.
  • IP: On-site Event Support for Assigned Events: Arrive 1 day early before team to set up and organize office.
  • After Event ends - For Assigned Events: All IP Evts: Count all remaining items and update inventory.

  • Travel*: Willing to travel to institute events a few times per year to learn about, and engage with, institute programs, philosophies, and our clients. Plus, willing to travel for additional professional training, seminars, etc. a few times per year.

* As travel conditions safely allow. If travel conditions do not allow, events held on location may be substituted for virtual events that accomplish the same goals.

Required Experience / Proficiency:

  • 2+ years experience working events, both virtual and in person
  • Access to high speed internet, dedicated and distraction free work space and able to meet all requirements of this role while working remotely.
  • Tech savvy with the ability to learn new software and systems quickly.
  • Asana Task Management System (or similar + ability to learn immediately)
  • Google Apps - Docs, Sheets, Slides, Drive
  • Communication Tools - Google Meet, Skype, Zoom
  • Must live in Pacific or Mountain Time Zone (Events are held in Pacific Time so it is important to be 100% available)
