Position Summary

The Programs Project Manager will support the Content Production team by providing Event and Programmatic management for a variety of activities across the Programs spectrum. Tasks and projects such as creating and proofing powerpoints/keynote presentations, virtual live event support, making tick-tocks and eMaps, supporting faculty in content development and organization, and more as assigned. We produce 25+ events each calendar year ranging from 5-Day in person retreats to 6-Day Virtual Coach Certification events down to 1-Day Virtual Immersion events, and you will be responsible for project managing a share of them!

 

Principle Accountabilities & Deliverables

  • Event Management (85%)
    • Attend events and provide virtual support for changes to powerpoints for faculty as well as note-taking
    • Schedule and attend planning meetings (and make corresponding agendas), take notes, track actionable items, create follow up tasks, follow up with key faculty for assigned deliverables
    • Creating and proofing powerpoints for live events 
    • Management of printed materials
    • Verify Contingency plans and video assets are in place for the event
    • Creation of pre-event speaker notes and quick timing summaries
    • Coordination with faculty for presentations (accountability for on time delivery of all relevant materials)
    • Development and management of Tick-Tocks (showflow timing) and eMaps
    • Sort through event debriefs, note suggested changes, and implement approved items for future events
    • Rudimentary audio and video editing (preferred but not required)
    • Development of timer videos with musical and photographic components
  • Post Production/Administrative (15%)
    • Download Zoom recordings and create asana tasks for Video Editor and Technology Department
    • Archive final documentation used during events
    • Clip requested video/audio selections and send in for transcription
    • Capture social proof examples on Facebook and file accordingly
    • Other administrative tasks as assigned

 

Education / Experience

  • Minimum High School Diploma, Bachelor’s Degree or equivalent experience preferred.
  • Minimum 2 years experience as Project Manager
  • Experience with virtual events (in-person and hybrid events is a bonus)
