Position Overview:

Key Responsibilities

Pre-Production (30%)

  • Attend planning meetings (and support Project Manager with development of corresponding agendas), take notes, and create follow-up tasks to ensure all elements are in place.

  • Collaborate with the Testimonial Specialist and Offer Strategist to finalize testimonial and offer content for events.

  • Partner with the Project Manager in developing contingency plans and ensuring all contingency video assets are prepared on time and at the highest quality.

  • Coordinate scheduling and communication with guest presenters and faculty stakeholders.

  • Work with Project Manager on coordination with faculty for presentations (accountability for on time delivery of all relevant materials)

  • Proof and finalize PowerPoint presentations for both in-person and virtual events.

  • Review and approve the Tick-Tock (Show Flow document) to ensure alignment with event execution needs.

  • Collaborate with Client Experience and Event Teams for updating of virtual event sites.

  • Update and coordinate the deployment of post-event surveys with the Client Experience Team.

Event Production (60%)

  • Act as the primary point of accountability for live event execution, working closely with AV, Events, and Technology Teams.

  • Oversee and manage event flow based on the Tick-Tock to ensure precise execution of timing.

  • Communicate via comms systems to coordinate with technical teams in real time.

  • Cue lighting, sound, PIP, video transitions, and teleprompters to maintain a polished production.

  • Assist and guide faculty presenters, ensuring they are prepared and comfortable.

  • Implement real-time adjustments/troube-shooting to event timing, when necessary, in collaboration with faculty and event director.

  • Support rehearsal scheduling and execution, providing feedback to faculty for on-stage presence and content delivery.

  • Lead pre-event Tick-Tock review meetings and All-In Staff Meetings to ensure alignment across teams.

  • Coordinate morning filming and script updates at certain in-person events (e.g., DreamBuilder LIVE).

  • Send evening timing reminders to faculty presenters

  • Support Project Manager as needed with additional powerpoint support, note-taking and onsite/virtual responsibilities

Post-Production (10%)

  • Review event survey results, compile summary data, and assess Net Promoter Score (NPS).

  • Evaluate event debriefs, document suggested improvements, and implement approved updates for future events.

  • Organize event documentation and ensure all assets are stored appropriately.

  • Collaborate with the Project Manager and Tech Team for video/audio post-production tasks.

Skills & Qualifications

  • 2+ years of experience in live event production or show calling for conferences, corporate events, or large-scale virtual events.

  • Excellent organization, communication, and leadership skills.

  • Ability to travel for in-person events (4 times per year) and support multi-day events virtually from HQ in Orange County.

  • A calm, confident presence under pressure with strong leadership abilities.

  • Strong ability to multitask and adapt in a live, fluid event environment.

  • Experience working with PowerPoint, Google Docs, Google Sheets, and event management platforms.

  • Ability to coordinate with AV, Technology, and Event Teams to ensure seamless execution.

 


 

Work Environment & Compensation

 

  • Remote (Telecommute) Position – Must have a distraction-free work environment with reliable internet.

  • Regular business hours (8:30 AM – 5:30 PM) with occasional evenings and weekends required for event production.

  • Travel required for select in-person events.

  • Competitive salary based on experience, with benefits package including PTO, holidays, medical, dental, vision, and 401(k).

  • MUST RESIDE IN SOUTHERN CALIFORNIA and have reliable transportation.
