
The Executive Admin to the VP of Finance is a positive, goal-oriented professional who continuously seeks opportunities for growth. This role will entail working closely with the VP of Finance to support daily administrative needs, calendar and email management, meeting coordination, and financial tracking and reporting. A general understanding or interest in finance is a plus to help assist with budget documentation and project support.
Position Strategic Focus:
Overall, the strategic focus of the Executive Admin is to provide high-level administrative support to the VP of Finance, enabling increased productivity, clarity, and execution of financial initiatives.
Assist in maintaining visibility and follow-through on key finance projects.
Help streamline communication and coordination between departments.
Maintain operational flow by managing priorities and protecting the VP’s time.
Support project management
Position Tactical Focus:
Schedule and manage the VP’s meetings, calendar, and travel.
Draft emails, documents, and light finance-related summaries or reports.
Support document preparation and formatting, including budget sheets or slides.
Take notes during finance team meetings and follow up on action items.
Manage digital files and organize financial documents as needed.
Coordinate cross-functional tasks or requests coming to the Finance department.
Assist in tracking project timelines and deliverables.
Track project milestones and deliverables to ensure timely completion.
Assist with project management tasks such as maintaining Asana boards, coordinating timelines, and checking in on task owners for status updates.
Required Position Attributes:
Self-Motivated: A self-starter who works extremely well in a team environment, but you also excel when it comes to working independently with minimal supervision.
Exceptionally Well Organized: Able to assess, prioritize and manage competing deliverables in a fast-paced and dynamic work environment - both for deliverables specific to this role and inter-departmental.
Confidentiality: Maintain total confidentiality in regard to data, information, and plans accessible by means of this position in supporting the Institute.
While working remotely, you must be able to work consistent hours and have a distraction-free work environment.
Ability to communicate effectively - oral and written and be able to create solutions in challenging situations.
Efficient: must be able to work efficiently to meet deadlines with an excellent attention to details.
High Integrity: Must maintain high integrity in all work and communications – be willing to learn and work in alignment with company values.
Tools Proficiency:
Must be proficient in using MS Word and MS Excel.
Must be proficient with Google Drive, Google Calendar, Google Docs, Google Sheets, Netsuite, and ZoHo, and any additional CRMs.
